How much do fleet management systems cost?

The cheapest fleet management systems start at around $10 per vehicle, per month, but for more sophisticated options, prices can reach upwards of $250 per vehicle, per month. That said, most systems tend to sit somewhere between $20 and $35 per vehicle, per month.

What do fleet management systems do?

The short answer is: loads! The long answer is that fleet management systems tend to come with a variety of functionalities, though not every system will be able to do everything.

The one thing all fleet management systems do is track your vehicles’ locations. You’ll be able to check where your vehicles are on a virtual map (think Google Maps), but how often this location data updates – for example, every 30 seconds vs. every hour – depends on the system you choose.

The other functions on offer include (and this isn’t an exhaustive list):

  • Optimised route planning
  • Employee dispatching and job scheduling
  • Driving behaviour monitoring, particularly unsafe driving and unnecessary idling
  • Fuel usage tracking
  • Vehicle maintenance scheduling
  • Regulatory compliance features
  • Road accident analysis and reporting
  • Vehicle security measures, including geofencing alerts (alerts that ping when a vehicle is taken out of its expected operating area)
How do fleet management systems work?

Each vehicle tracking device uses GPS technology to transmit the location of the vehicle it’s installed in. These devices also pull useful data from the vehicle’s engine, which is how they’re able to report on things like fuel usage, dangerous driving habits, and more.

All this information is transmitted to a software interface, which might be a computer program or a mobile app. On your program or app, you’ll be able to check out all the data your tracking devices have transmitted – most systems will organise the data into helpful dashboards and reports, so it’s easier for you to digest and, crucially, use for the betterment of your fleet. You might also use this software to plan routes, dispatch drivers, create maintenance schedules, and more (depending on what your system can do).

Some systems enable you to customise your dashboards and reports, so you can see the data that’s most important to your business. Some can also send real-time alerts of your choosing.
