Zoom has long been a leader in video communication, and its VoIP service offers a simple yet powerful platform for small businesses. For just $15 per user, you get:

  • Topline call management features from ring groups and automatic call screening to customizable call routing and flipping capabilities. It had all the features we were looking for, which can’t be said of any other option on this page.
  • A clean, intuitive interface that makes navigation easy. “How it appears visually is quite calming,” said one of our user testers. “It’s the little things, for example how the icons are rounded so they don’t look particularly aggressive”. If you’ve used Zoom’s video calling, you’ll easily be able to get to grips with this.

What could Zoom US & Canada Unlimited do better?

While Zoom excels in usability, we encountered some challenges:

  • While offering integration with Google and Microsoft integrations for calendar and email workflows, we found third-party tool integration was unclear. “When trying to connect my Google account, there was a loading bar, but nothing happened even after multiple attempts,” shared one user.
  • It’s also worth noting that it couldn’t seamlessly integrate with external video conferencing tools, such as Microsoft Teams – for this, we recommend net2phone Essentials.
  • The contact form didn’t fit all laptop screens, obscuring the call-to-action button. “Expanding the options hid the button, which was frustrating,” noted a tester. It’s not a huge issue, and one we could remedy, but it reflects that the Zoom software might have issues with different-sized devices.

Overall, we’d say Zoom US & Canada Unlimited is ideal for businesses prioritizing usability and regional communication, but it may require patience when setting up integrations.

  • Support for SMS messaging and all other communication channels we were looking for (team messaging, call, and video conferencing), making it easy to stay in touch with customers. While less essential to most companies, it also has e-fax functionality, unlike either Zoom package (only Ooma and net2phone also have this).
  • Compatibility with multiple desk phone models during our research means Dialpad should allow for flexibility with any existing hardware. In terms of the number of different phone brands, only Zoom bettered it from the options on this page.

What could Dialpad Standard do better?

While Dialpad excels in affordability and essential features, it falls short in two critical areas:

  1. Training functionalities: The lack of robust training tools like call monitoring or whispering makes it less ideal for businesses that prioritize employee development. Organizations needing in-depth training features might consider alternatives like Zoom or RingCentral.
  2. Integration variety: While compatible with major CRMs like Salesforce, HubSpot, and Zendesk to streamline workflows, businesses using niche platforms may find Dialpad’s options limited compared to net2phone or Zoom.

Google Voice Standard is a VoIP add-on product for Google Workspace. For current Google Workspace users then, it’s an attractive offer due to its low price of $16 per user, per month for a streamlined yet robust feature set, and minimal set-up requirements.

Still, there is a notable absence of advanced call management features and comparatively little hardware compatibility, while the inability to fully integrate with non-Google products could be a deal-breaker, too. But if Workspace is already a part of your workflow, it could be a convenient, low-cost solution that has the basics covered.

What does Google Voice Standard offer for the money?

Google Voice’s Standard plan integrates seamlessly with Google Workspace, making it a logical choice for existing users. Key features include:

  • A simple, intuitive interface. “The interface makes sense, is easy to use and figure out. It’s a good tool for covering the basics,” noted a participant. Users also appreciated the customizable contact profile images. “It’s a small feature, but I loved choosing from a huge selection of pre-set illustrations that Google offers, I went with a goofy llama for one of my contacts—it added a fun personal touch,” one tester said.

  • Excellent spam prevention capabilities such as automated algorithmic detection to identify and flag potential spam calls and messages, filtering those calls and messages to a separate “Spam” folder. There’s also call screening where Google Voice asks unknown callers to state their name before the call is connected, or thereafter allowing a user to hear the caller’s name and either accept, decline, or send the call to voicemail. Naturally, you can easily block numbers, too. That means if your business frequently gets cold callers, you’ll have some defense against any ongoing nuisance.

What could Google Voice Standard do better?

The main consideration with Google Voice is how embedded you are in the Google Workspace ecosystem. For those who don’t use Google Workspace or don’t plan to in the future, it doesn’t make sense as a purchase, as you can’t integrate non-Google software with Google Voice.

It’ll require your organization to migrate email, calendar, and video calling to Google Workspace, which could be overtly resource-intensive when there are similarly priced platforms available that don’t have these requirements (or even cheaper in Zoom and Dialpad’s case).

And while the platform is well-suited for small businesses already using Google Workspace, it struggles in other areas, too:

  • It lacks advanced call management and training features, which may reduce its appeal to customer service teams in particular. Unlike all other options on this page, there is no customizable hold music or call flip abilities, earning it the lowest score for call management of the on-page options. It also lacks voicemail screening, call queues, custom call routing, call monitoring, call barge and call whisper features.
  • We also found Google Voice was compatible with the joint-fewest hardware brands we tested, alongside Vonage Mobile; just one in the form of Polycom phones. That might not be an issue if you only call or plan to call using a laptop or smartphone, but if you are used to desk phones then you may face a lack of functionality.

Our user testing didn’t highlight Google Voice as perfect either, despite loving the platform overall. We found new contacts aren’t automatically updated across systems, requiring manual input, which could slow you and your team down considerably over time.

4. Ooma Office – $19.95 per user, per month

Next in line for the cheapest VoIP service plans we recommend is Ooma Office. While not the cheapest option on this page, it offers a compelling value proposition in terms of scaling your business in the future due to the pricing of its mid ($24.95 per user, per month) and highest-tier ($29.95 per user, per month) plans.

In the meantime, you’ll have a toolkit of essentials. But there are some drawbacks such as a lack of communication channels, integrations, and certain call management features. But it still has an appealing UI with most of the core features you’re likely to need as a small business.

What does Ooma Office offer for the money?

Ooma Office combines affordability with an appealing array of features and functionality. Highlights include:

  • Decent call management features, including custom call routing and call flipping. It’s not the widest array, missing out on voicemail screening and transcriptions and call queueing, but Ooma still betters the likes of Google Voice and Vonage in this regard.
  • Easy Google Calendar integration. “I connected my calendar in less than a minute,” reported one tester.
  • Clear call notifications and straightforward answering processes, as part of a legible interface. Our user-testing team loved Ooma’s simplicity overall. “I’ve never used VoIP software before, but I found the interface intuitive and easy to navigate,” one participant noted.

What could Ooma Office do better?

Despite its strengths, Ooma Office has some limitations we found when testing the product:

  • Google Calendar integration created a confusing overlap between Google Meet and Ooma’s native video features for our user testers. “It wasn’t immediately clear which button to use to join a meeting,” one user said.
  • Limited options for inviting colleagues to video meetings directly within the platform. Currently, the process requires sending external links (e.g., via email) which feels a little inconvenient considering that colleague details are already stored in the VoIP system. Being able to add or invite users directly to a meeting would be an improvement.
  • Multiple participants noted voicemail audio quality issues. “There was some white noise interference, which was notable with softer-spoken callers,” a tester mentioned.

Besides these functionality points – and the aforementioned lack of some advanced call management features – some other misses might be reasons to look elsewhere, too. Namely:

  • Ooma Office’s lowest-priced tier has the worst training features of the plans on this page, lacking call recording, monitoring, whispering, and any analytics (though, unusually, you do get call barge functionality).
  • There’s also a lack of communication channels on this lowest-priced plan, with video conferencing, team messaging, and SMS all missing. You only have call conferencing and e-fax included. Opt for Dialpad Standard, net2phone Essentials, RingCentral Core, or either Zoom plan to get all of these.
  • Software integrations aren’t plentiful either, only beating out Google and Vonage from the seven other options on this page. Google Workspace or Office 365 integration is only available on Ooma Office Pro, while CRM integrations only come into play with Pro Plus.
  • Ooma also doesn’t have the widest hardware support, albeit it does natively allow for Yealink and its own-brand desk phones. Zoom, RingCentral, and Dialpad are known to function with a wider variety of manufacturer devices.

5. net2phone Essentials – $19.99 per user, per month

While costing a little more than some other options on this page, retailing for $19.99 per user, per month (if you have between 25 and 99 users), net2phone’s Essentials package scored the second highest amongst the plans on this page.

That’s down to a topline suite of communication channels only matched by Dialpad Standard, near-perfect call management features, and software integration options that better all other plans at this price point.

What does net2phone Essentials offer for the money?

Net2phone stands out with strong call management capabilities and discounts based on user volume. Its key features include:

  • With voicemail (with transcriptions), custom hold music, advanced call routing, queuing, forwarding, and flipping, plus ring groups, and screening abilities, net2phone Essentials has basically everything you could desire from a VoIP service provider’s call management features. The only thing we could pick out was a lack of automatic call screening, but it still has caller ID, blocking, and voicemail screening abilities.

  • You have every communication channel covered here: video/call conferencing, team messaging, SMS, and e-fax. Only Zoom can match that. During our testing, participants appreciated the seamless consolidation of communication channels. “The platform is great for managing calls, messages, and voicemails all in one place,” one user said.
  • While its hardware integration options aren’t leading the pack, net2phone Essentials also allows for use with popular desk phone brands like Yealink and Polycom.

What could net2phone Essentials do better?

Since we’re focusing on low-cost providers, it’s worth noting net2phone’s different pricing structure. If you have fewer than 25 users, you’ll be paying a little extra: $21.99 per user, per month for between 10 and 24 users or $27.99 per user, per month for between one and nine users. In that sense, net2phone may not be the cheapest choice for smaller-sized teams.

Additionally, there are some extra costs to consider if you want integrations (including Microsoft Teams and Salesforce) and advanced features (such as call queues, extended recording storage, and AI features) that may not appeal to budget-conscious users.

Other software integrations are included, such as Zoho, Slack, Zapier, Google Chrome, and custom APIs, but only with its Professional plan ($24.99/user/month) or Ultimate plan (custom). Again, you might need to spend more than you think to get the features you need with net2phone.

Net2phone is slightly limited in its training features, too. You get call recording, but there’s no call whisper, barge, or monitoring to help train employees. Vonage Standard and either Zoom plan are the best choices for these tools.

6. Vonage Mobile – $19.99 per user, per month

Vonage Mobile is another near-$20 per user, per month plan that has appealing qualities centered around its more-than-competent call management features and training features that are only beaten by Zoom of the on-page options.

What does Vonage Mobile offer for the money?

Vonage is a reliable choice for businesses needing to manage high call volumes. Highlights include:

  • With Vonage Mobile, all the key call management tools are present and correct, from custom queues and routing to all the call screening tools you could need. Strangely, only ring groups are missing (which all other plans on this page include) since that is only available on its Advanced plan. But if that’s not of any concern, you’ll be set up to succeed with Vonage’s cheapest package.
  • Vonage also has above-par training features for packages of this price, offering training tools for call whisper, barge, monitoring, and call analytics by default. You’ll need to pay extra for call recording, as we’ll discuss shortly, but only Zoom offers those four other training features listed here.

What could Vonage Mobile do better?

Vonage’s Mobile plan can feel a little restrictive due to potential extra costs. Several features are either locked away in Vonage’s higher-cost plans or are available as paid-ons (or both, in some cases).

For instance, you’ll need Vonage Premium ($30 per user, per month) or Advanced ($40 per user, per month) to be able to add a desk phone, use team messaging or video meetings for internal communication, or access the VBC App Center and the 20+ third-party software integrations for CRM and other tools available there. In other words, you won’t get any of the above with Vonage Mobile.

There are 18 paid add-ons you can attach to Vonage Mobile, such as call recording ($4.99 per month). Overall, this pricing structure does make it more difficult to assess your potential total monthly outgoings than other providers which include features by default, and you may see your prices rise over time given this.

7. RingCentral Core – $20 per user, per month

The joint most-expensive option on this page, RingCentral Core might not appear to be the best budget buy on first look. However, as one of the most consistent performers across our eight testing areas, it is worth considering to get more bang-for-your-buck and is a long-term option given the quality of its higher-cost plans, as we’ll get into below.

What does RingCentral Core offer for the money?

RingCentral is an all-in-one communications platform with extensive integration options and robust analytics. Key features include:

  • Multiple communication channels, including SMS, video, and team messaging, integrated into one platform (only missing e-fax from our assessed options).
  • Behind Zoom, RingCentral proved to have the joint-second-largest hardware compatibility amongst the options on this page, which is useful for those used to calling with desk phones.
  • While the Core package doesn’t integrate with CRM and helpdesk tools, you can integrate with Gmail or Outlook calendars, several customer live-chat tools, and video conferencing software like Microsoft Teams. If you upgrade to RingCentral Advanced ($25 per user, per month) in the future, you’ll get CRM and helpdesk access, as part of the largest library of third-party integrations among VoIP providers we’ve tested.

In our user testing, participants praised the interface’s clarity and ease of use, too: “The navigation bar and icons are intuitive, making it simple to get started.” Call quality and transcription accuracy were also high points in our testing.

What could RingCentral Core do better?

Downloading video call transcripts posed challenges during testing. “Transcripts can only be downloaded during the meeting, not after, and the process isn’t intuitive,” one tester explained. You need to click the ‘always download transcripts after meeting’ button for this to occur, but even then the download is in the form of a text file (.txt) which didn’t feel very professional to us.

RingCentral also keeps its incredibly detailed analytics and reporting history tools to its more costly plans. The same is true of training tools like call barge, whisper, and monitoring, which are available from its Advanced plan and above. If you need training tools at a lower budget, other options, such as either Zoom package, will be a better fit.

Still, this does make RingCentral an appealing VoIP service provider for scalability in the future – in fact, the RingCentral Advanced and RingCentral Ultra plans earned first place of all the plans we tested for medium-sized and large-sized businesses respectively.

8. Zoom Global Select – $20 per user, per month

The Zoom Phone Global Select plan upgrades the domestic calling of the aforementioned US & Canada Unlimited plan by allowing companies to have unlimited domestic calling in one of 49 countries.
